K4 Configuration, Rollout, and Training

The Princeton Review

Background: The Princeton Review's Test Preparation division helps a variety of students prepare for major moments in their educational lives including the PSAT, SAT, ACT and Graduate School Admissions Exams through its books, live and online courses, and tutoring services. Really Strategies was hired to immediately roll out the K4 workflow system for the Test Preparation Division's Product Development group and prepare the entire division to use the system in its live production environment. Really Strategies also recently supported the K12 Division of the company with a similar system and used that existing K4 configuration as a starting point.

Strategy: Really Strategies developed a series of user requirements based on working meetings with key staff members. The Test Prep Division and Really Strategies identified a starter project on which to train the team. The ultimate goal was to begin using the K4 system in production.

Result: The following key tasks were identified and successfully completed:

  • Configuration of K4-A new K4 configuration for the Test Prep Division was developed to meet documented needs. The configuration was developed during working meetings with the super user team made up of key staff members and documented during and after the working sessions.
  • Super User and Staff Training-Up to ten 3-hour training sessions were conducted, involving five to seven staff members. Three InCopy sessions, four K4 sessions, and three advanced user sessions were completed. Training covered K4, File Manager, Overset Manager, Revision Manager, and Notes Manager.
  • Rollout Support-Hands-on support was provided for the first 4 days to handle technical issues, user questions, troubleshooting, configuration changes, additional training, and any other issues that arose
  • Status Meetings-Really Strategies conducted weekly status meetings and provided weekly status reports.
