Production Workflow System Upgrade: From Vendor Selection to System Implementation

The Princeton Review

Background: The Princeton Review's K-12 content division offers electronic and print delivered assessment programs, educational materials for school intervention programs and training services that help schools improve academic performance. Really Strategies was hired to assist the Princeton Review with vendor selection and implementation of a publishing workflow system and compatible math typesetting solution. The K-12 content division sought to improve editorial content review, facilitate math typesetting, and streamline workflow through the production process. The project was run on a highly aggressive schedule.

Strategy: Really Strategies conducted a three-phased project plan:

  1. Selection. The initial analysis resulted in a shortlist of potential workflow systems, which had been proven for similar content, and a detailed matrix comparing systems was created. Really Strategies provided support for negotiations, and The Princeton Review concluded a satisfactory selection. A compatible math typesetting solution was also selected through facilitated meetings of editorial and production staff.
  2. Configuration. The second phase involved establishing a server environment and a configuration that would help manage a newly streamlined workflow. A lab was briefly set up for testing and staff training purposes.
  3. Training and rollout. The final project phase completed the desktop rollout and engaged the entire K-12 staff with workflow training, InCopy and workflow system training, as well as math tool training. New system administrators and IT desktop support were trained and engaged to actively support new projects.

Result: Softcare's K4 publishing system was selected after a detailed business and functional requirements process and documentation. Really Strategies configured the system to synchronize with The Princeton Review's specific workflow requirements. Upon successful completion of the pilot project, the new system was engaged for the live production process. Really Strategies conducted system and user training for staff members.
